Understanding Meeting Contracts

When it comes to meeting contracts, don’t be left behind. During a planner panel discussion at ExL Pharma Summit, a conference for planners in the pharmaceutical meetings industry, an audience member posed the question, “What do you suggest as resources for meeting contracts?” The answer of one panelist in particular grabbed my attention. Louisa Davis, CMP and Account Manager at Prime, an event management company in Canada provided three great resources to understanding more about meeting contracts:

  1. MPI International – Check out their website. This website has resources such as their own lawyers, who are published authors like John Foster. Foster is one of MPI’s outside legal counsel for industry contacts. According to MPI’s website, John is also a co-author for PCMA’s Professional Meeting Management book, chapter on “Contracts in the Meetings Industry.”
  2. M&C Magazines – Louisa suggests articles in magazines like MEETINGS & CONVENTIONS magazine where they feature checklists and tips. She says there are more advice columns from industry lawyers who are great resources like Jonathan Howe and John Foster. Jonathan Howe is the official legal editor for MEETINGS & CONVENTIONS magazine and ONE+ (by MPI).
  3. PCMA and MPI - Join your local chapter and talk to other members in the chapter, not even in your industry segment. For instance, if you’re a pharma planner, get the perspective of other professionals not planning pharma events on meeting contracts. Find a local MPI chapter or PCMA chapter to join and begin connecting with others.
